We are currently seeking a detail-oriented and highly organized Bookkeeper-Office Assistant to join our team. In this role, you will play a crucial part in managing our financial records, supporting office operations, and ensuring the smooth running of our day-to-day activities. Key Responsibilities:

Demonstrate and teach A-Player behavior and Company Core Values.

Assist the general manager in developing the company’s annual plan and budget.

Collect and assemble daily report information and provide the daily report to the general manager.

Manage all accounting activities related to general ledger, bank/credit card registers, accounts receivable, accounts payable, payroll processing, business taxes, employer and payroll returns and tax payments.

Reconcile bank and credit card accounts and produce company financial statements and reports.

Work closely with the Office Coordinator to plan and execute company meetings and events.

Ensure the collection of money at the point of service or proper paperwork for financing is signed and processed completely.

Manage accounts receivable to ensure timely collection and depositing of all monies.

Manage accounts payable and coordinate with the Office Payor to take advantage of vendor discounts and avoid finance charges for late payments.

Collect and archive key performance data and produce statistical data and reports for department supervisors and the general manager.

File and organize accounting & client information and paperwork

Assist with municipality licensing renewals and track insurance and bonds.

Answer the phone as needed, ensuring courteous interactions with clients.

Manage company assets such as vehicles, information systems, and communication systems.

Communicate with the team to ensure timely submission of paperwork and receipts.

Participate in the on-call dispatcher rotation (typically about 1 week per month, but varies depending on the number of office staff members)

Perform other tasks as assigned to assist managers and/or owners of the company.

Required Qualifications:

Proven experience as a bookkeeper or office assistant (Proven experience as a bookkeeper for a residential service trade – electrical, plumbing, HVAC is a plus).

Proficiency in accounting software, such as QuickBooks Online.

Strong understanding of accounting principles and practices.

Excellent organizational and time management skills.

Ability to manage multiple tasks and projects and prioritize effectively. Able to use lists and other task management tools effectively.

Effective time management skills, and ability to use digital calendar and other time management tools.

Strong attention to detail and accuracy.

Effective communication skills, both written and verbal.

Ability to work independently and as part of a team.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Strong understanding of collections processes for bounced checks and ACH transactions

High level of integrity and professionalism.

Ability to problem-solve and think logically

Clean background & driving record

Drug-free (can pass a pre-employment and random drug screens)

Able to lift 25 pounds, bend and reach, and sit for long periods.

Ability to travel from time to time to participate in training and company events.
